2027 Fall Furnace Tune-Up Campaign for HVAC Contractors

The same playbook as the spring AC campaign, tuned for heating season: safety-first messaging, the September–October sequence, and the maintenance-agreement conversions that carry your winter.

Part of the Leveraged Owner 8-system framework

If you ran the summer AC tune-up campaign, this one will feel familiar — same skeleton, different season, sharper message. Heating has something cooling doesn't: a safety story. A neglected furnace isn't just uncomfortable, it's a carbon monoxide risk, and that changes the tone of every message from "nice to have" to "don't skip this." Run the campaign September through October, and winter becomes planned work instead of emergency chaos.

The timeline: September, October, then winter readiness

  • August — prep month. Segment the list, write the messages, block furnace-check capacity on the board, stock ignitors, flame sensors, and filters.
  • September — the campaign. Full sequence fires. Goal: book the bulk of fall heating checks before October 15.
  • October — the cleanup + freeze prep. One re-message to non-responders, then pivot messaging to freeze prevention as temperatures drop.

Step 1: Segment the list (August)

  • Maintenance agreement members. Scheduling message only: "Your fall furnace check is due — pick your slot." They booked the spring tune-up; this is the second half of what they already paid for.
  • Past customers, no agreement. The core audience. Many of these did the spring AC tune-up — the furnace check is the natural second visit.
  • Furnaces 12+ years old. From install records. These get the safety angle plus replacement seeding — a 15-year-old furnace in October is a January emergency waiting to happen.
  • New homeowners (moved in within 12 months). They don't know the system's history. "You bought the house, but do you know the furnace?" is a strong opener.

Step 2: The September sequence

Touch 1 — the safety opener (September 1)

Hi [Name], [Your Name] with [Company]. Heating season's coming — we're opening our fall furnace safety-check schedule. 21-point inspection: heat exchanger, CO levels, ignitor, gas pressure, the works. $[X] for September bookings. A cracked heat exchanger is the one thing you don't want to discover in January. Reply FURNACE and I'll get you scheduled. — [Company] ([Phone])

Touch 2 — the agreement math (September 12)

[Name], if you did our spring AC tune-up, you've already paid for half a maintenance plan without the benefits. [Plan Name] at $[X]/mo covers both seasonal checks, priority scheduling when it matters (January), and 15% off repairs. Reply PLAN and I'll set it up — takes 2 minutes. — [Your Name], [Company]

Touch 3 — the weather trigger (first week temps drop below 50°F)

First cold snap's here, [Name] — our furnace schedule just went from comfortable to tight. If yours hasn't been checked since last winter, now's the week. Reply FURNACE and we'll fit you in before the real cold hits. — [Company]

Touch 3 is the highest-converting message in the sequence because the weather sells it for you. Watch the forecast and fire it the day the temperature drops — not a week later.

Step 3: The in-home conversion

Same three revenue events as the spring campaign, heating edition:

  • The safety find. Cracked heat exchanger, elevated CO, failing ignitor — documented with photos and combustion readings. This isn't an upsell, it's the reason for the visit. Present the finding, the risk, and the fix plainly.
  • The agreement close. The pitch writes itself in fall: "You just did the furnace check. The spring AC tune-up is included in the plan, plus January priority." One ask, logged either way.
  • The replacement seed (12+ year furnaces). "Your furnace is 14 years old and safe today. When it goes — and at this age it's a matter of when — here's the ballpark, so a January failure isn't a January panic." Plant it now; it closes on the coldest week of the year.
68%

of consumers only consider businesses rated 4 stars or higher (BrightLocal 2026). Every furnace check is a review opportunity — the safety angle makes customers genuinely grateful, and grateful customers review.

42–47h

is the typical business response time to a new inquiry (HBR 2011 / 2026 benchmarks). Your September campaign replies should go out in minutes — the contractor who answers first wins the pre-season work.

Step 4: The October pivot — freeze prevention

Once furnace bookings are set, shift the list to freeze-prevention messaging before the first hard freeze:

  • Pipe-freeze prevention emails to the full customer list — drip faucets, hose bibs, garage doors closed, thermostat minimums. Useful content that keeps you top-of-mind.
  • The "still need that work done" text to customers with open recommendations from the furnace check — the capacitor that was "fine for now" in September becomes urgent in December.
  • Humidifier and IAQ add-ons — dry winter air is the seasonal upsell that pairs naturally with every heating visit.

Step 5: Winter emergency readiness (November)

The campaign's final job is preparing for the season it created demand for:

  • After-hours triage updated for no-heat calls — the decision tree, the emergency fee schedule, the on-call rotation.
  • Missed-call text-back verified — test it before the first cold snap, not during. January no-heat call volume will spike, and every missed call is a customer choosing between you and whoever answers.
  • Parts stocked — ignitors, flame sensors, inducer motors, thermostats. The parts that fail in January should be on your trucks in November.

Three mistakes that sink the fall campaign

  • Copy-pasting the spring messages. "Get your AC ready" energy doesn't work in September. The safety angle is the whole reason this campaign converts — lead with it.
  • Missing the weather trigger. Touch 3 fired two weeks after the cold snap is just another promo text. Watch the forecast like it's part of the job, because it is.
  • No agreement path. A furnace check sold as a one-off is a missed annuity. The plan pitch in fall is the easiest sell of the year — the customer is literally buying winter peace of mind.
